Intro
Flow Ninja partnered with Encompass Technologies to migrate three disconnected brand sites into a single Webflow platform, on a fixed deadline forced by a contract expiration. In five months, the team consolidated the brand experience, protected search rankings through a one-for-one migration, and handed marketing full publishing control - cutting blog publishing time from over two hours to about ten minutes.
WebOps project team

The Background
Encompass builds ERP software for beverage alcohol distributors, producers, and retailers, competing against two major players in a tight market. The website carries a dual load: prospects use it to evaluate a switch, and existing customers log into it daily to run production and distribution. Layered on top of that was a history of acquisitions — two additional product lines, each running its own standalone site, with no shared brand or strategy tying them together.
The Challenge
Encompass's marketing team didn't control their own website. Every change, however small, went through a queue: their Contentful setup ran on 25 pre-built modules frozen in place for years, so a request as simple as repositioning an image required development resources the team didn't own. Publishing was slow and blind - changes pushed to staging with a 20-minute wait and no preview, meaning a single iteration could burn a full day.
The three disconnected product sites compounded the problem. With a December contract deadline forcing a decision, Encompass needed to consolidate the brand experience and fix the workflow at the same time, not choose between them.

The Solution
Encompass wanted a partner who could hit a hard deadline without cutting corners on a genuinely complex migration. Flow Ninja built a five-batch project plan and worked in sprints, with Encompass reviewing and prioritizing each phase.
The engagement ran on weekly check-ins: Jade Anthony, Sr. Demand Gen Manager, led the content audit and migration prioritization, while Flow Ninja owned the technical build. The scope covered:
- Merging three separate product sites into one master site on Webflow.
- A one-for-one content and SEO migration from Contentful, built to protect rankings through the switch.
- Tracking setup via SDKs, giving Encompass's marketing team visibility they didn't have before.
- A five-batch delivery structure that kept a multi-site consolidation on schedule against a fixed deadline.
"There wasn't a huge revert or anything. Nothing went wrong on the migration part."
Jade Anthony, Sr. Demand Gen Manager, Encompass Technologies
The Result
- The most immediate impact was operational. Publishing a blog post dropped from over two hours with two people to about 10 minutes with one. Navigation and technical changes that used to take four-plus hours now take under 30 minutes.
- Marketing stopped waiting on development. Staging previews, which used to mean a 20-minute blind wait, are now instant, and the team can publish independently without disrupting work happening on the back end.
- The three-brand problem is solved. Encompass now operates under one unified site instead of three disconnected ones, with a foundation in place for the homepage redesign and experimentation work the team plans next.
The Achievements
- Three disconnected product sites consolidated into one master Webflow site
- One-for-one content and SEO migration completed with zero ranking disruption
- Blog publishing time cut from 2+ hours (two people) to 10 minutes (one person)
- Navigation and technical changes reduced from 4+ hours to under 30 minutes
- Tracking implemented via SDKs for improved audience visibility
- Delivered on schedule against a fixed, contract-driven December deadline
- Marketing team now publishes independently, without routing through development
